Girls Leuven It Up, also referred to as GLIU, is an informal community group based in Leuven, Belgium, organised by Ariane Takyi.

For data-protection purposes, Ariane Takyi is responsible for the personal information described in this policy.

This policy applies when you:

visit gliu.club;

  • subscribe to the GLIU newsletter;

  • appear in event photographs or videos.

External services such as Luma, WhatsApp and Instagram also process information under their own privacy policies.

We use this information to send event announcements, community updates and other GLIU news. You can unsubscribe at any time using the unsubscribe link included in each marketing email.

Your contact information may be provided to Squarespace or another email provider used to manage and deliver the newsletter.

Registering for an event does not automatically subscribe you to the newsletter unless you separately choose to subscribe.

Fonts

The website may use font services provided through Squarespace, including Google Fonts or Adobe Fonts. These providers may receive limited technical information about your browser, network or device so that the fonts can be displayed correctly.

4. Cookies

The website uses cookies and similar technologies.

Necessary cookies are used to securely operate the website and provide functions you request.

Most GLIU event registrations are managed through an external booking platform such as Luma.

Depending on the event, we may receive:

  • booking and waitlist status;

  • ticket type;

  • attendance or cancellation information;

  • answers submitted during registration.

External booking and payment providers process information under their own privacy policies.

We use this information to administer events, communicate important updates, manage capacity and waitlists, process cancellations and provide the event you registered for.

6. Accessibility, dietary and safety information

You may choose to provide information about accessibility requirements, dietary needs, allergies, injuries or other circumstances relevant to an event.

Please only provide information that is necessary for your participation.

Where this information concerns your health or another sensitive matter, we process it only for the relevant event and with your explicit consent. Access is limited to the people who reasonably need it to support your participation.

7. WhatsApp and social media

GLIU uses platforms including WhatsApp and Instagram.

When you join a WhatsApp community or group, other participants may be able to see information linked to your WhatsApp account, such as your telephone number, profile name or profile photograph, depending on your account settings and the type of group.

Please avoid sharing confidential or sensitive personal information in group chats. GLIU cannot control information independently saved or shared by other group participants.

Messages sent directly to GLIU through WhatsApp, Instagram or another platform may be kept where necessary to respond, manage an event or address a community issue.

Meta, WhatsApp, Instagram and other social platforms process information under their own terms and privacy policies.

8. Event photographs and videos

Photographs or videos may be taken at some GLIU events for event recaps and community promotion.

We will aim to inform attendees when photography or filming is planned. You may tell the organiser or photographer that you do not wish to be photographed.

Where an identifiable image focuses specifically on you, we may request your permission before publishing it.

You may contact privacy@gliu.club to ask us to stop using an identifiable photograph or video of you. This may not remove copies already shared independently by other people or external platforms.

9. Why we use your information

We process personal information where:

  • it is necessary to provide an event or service you requested;

  • you have given consent, such as for newsletters or sensitive information;

  • we have a legitimate interest in operating and protecting the GLIU community;

  • it is necessary to respond to your request;

  • we must comply with a legal obligation;

  • it is necessary to establish, exercise or defend a legal claim.

Our legitimate interests may include managing events and waitlists, preventing misuse, managing repeated no-shows, maintaining community safety, responding to concerns and improving our website and events.

10. Who information may be shared with

Where reasonably necessary, information may be shared with:

Squarespace;

  • newsletter and email providers;

  • Luma and other event-booking platforms;

  • payment-processing providers;

  • WhatsApp, Instagram and Meta;

  • event venues and facilitators;

  • photographers or event support volunteers;

  • professional advisers or insurers;

  • public authorities where legally required.

Venues, facilitators and volunteers will only receive the information reasonably required for the relevant event.

GLIU does not sell personal information.

11. International processing

Some service providers may process information outside Belgium or the European Economic Area.

Where required, these transfers should be protected through a recognised legal mechanism, such as an adequacy decision or contractual data-protection safeguards used by the relevant provider.

12. How long information is kept

Information is kept only for as long as reasonably necessary.

Our usual retention periods are:

  1. General enquiries: up to 12 months after the last meaningful contact.

  2. Event registrations and attendance records: normally up to 12 months after the event.

  3. Cancellation and no-show records: normally up to 12 months.

  4. Accessibility, dietary or health information: normally deleted within 30 days after the event, unless needed in connection with an incident or claim.

  5. Newsletter information: until you unsubscribe or the newsletter is discontinued.

  6. Financial records: for as long as required by applicable accounting or tax obligations.

  7. Photographs and videos: until they are no longer required or permission is withdrawn, where consent is relied upon.

Some information may be retained for longer where necessary to comply with the law or handle a complaint, dispute or legal claim.

13. Your rights

Depending on the circumstances, you may have the right to:

15. Age requirement

GLIU’s website, events and community spaces are intended for adults aged 18 and over.
